You must enter program costs for your school's various programs prior to creating student records in Return of Title IV Funds on the Web. You can create a unique six-character code to identify the institutional charges for each program.

We recommend you set up institutional charges codes only as you need them to keep the process as simple as possible. One approach is to create one generic code in Setup, which you can modify as needed within records.

This set of institutional charges is linked to a school calendar profile to create a unique set of charges for a particular range of dates. When you create a student record, you will select the appropriate school calendar profile (which includes an institutional charges code) that describes the withdrawn student's charges and range of dates.

Naming Conventions

Consider these suggestions when establishing naming conventions for the institutional charges and school calendar profile codes. The examples are suggestions from experienced users, but you should create your own codes according to what works best for your school.
